Rent Matrix AI Assistant Guide

The Rent Matrix AI Assistant is an intelligent, context-aware chat tool embedded directly in your dashboard. It acts as an on-demand digital co-pilot to answer questions, guide processes, and retrieve information based on your access level.

What is this?

The Rent Matrix AI Assistant helps you complete everyday portal tasks faster. It only uses features and data your account is already permitted to access.

When should I use it?

Use the AI Assistant when you need:

  • Quick answers: "How do I invite a new vendor?" or "What is our current portfolio occupancy rate?"
  • Process guidance: "Walk me through creating a lease for an approved applicant."
  • Data retrieval: "Show me all maintenance tickets submitted last week for Downtown Portfolio."
  • Feature explanation: "What is the difference between a Property and a Portfolio?"
  • Troubleshooting: "Why can I not see the Publish Listing button for this unit?"

Prerequisites

Before using the AI Assistant, ensure:

  • You are logged into your Rent Matrix account.
  • Your user account has the correct role and permissions.
  • You have a clear question or task in mind.

The AI Assistant can only access what your account can already see in the portal.

Step-by-step instructions

  1. Locate the AI icon at the bottom-right corner of your dashboard.

  1. Click the icon to launch the assistant chat window.
  2. Type your question or command and press Enter.
  3. Review the response. The result is scoped to your user role and permissions.
  4. Ask follow-up questions as needed, or click close to return to work.

Example Scenario

Situation: You are a Property Manager and need a quick update before a team meeting.

Example interaction:

  1. You click the AI icon in the bottom-right corner.
  2. You ask: "How many maintenance tickets are currently open in the Downtown Portfolio?"
  3. The AI replies: "You have 7 open maintenance tickets in the Downtown Portfolio. 3 are new, 2 are in progress, and 2 are awaiting vendor approval. Would you like a breakdown by property?"
  4. You reply: "Yes, please list them."
  5. The AI provides the property-level breakdown.

Common Mistakes / FAQs

  • Mistake: Expecting AI to access data or features outside your permission level.
    • Solution: If you cannot see it in the UI, the AI cannot access it either.
  • Mistake: Asking vague prompts such as "Help me with maintenance."
    • Solution: Ask specific prompts such as "How do I assign a vendor to a maintenance ticket?" or "Show maintenance requests for Unit 202."
  • FAQ: Can the AI perform actions for me, or only provide information?
    • Answer: This depends on your system configuration. In many setups it guides you step-by-step, and in some advanced setups it can assist with actions after confirmation.
  • FAQ: Is my conversation private and secure?
    • Answer: Yes. Conversations follow the same security and privacy standards as the Rent Matrix platform.

  • Start simple with feature or navigation questions first.
  • Use natural language. You do not need special command syntax.
  • Add context if the first answer is not precise.
  • Ask "What can you help me with?" to discover supported tasks.
  • Use feedback controls when available to improve response quality over time.
